How to Use Piping Variables in a Reviewer Form

Piping Variables can be used within Reviewer forms to not only pipe in Reviewer information but to also pipe Applicant Information into the form. The following documentation will help to further explain how to pipe variables into your forms. Using the Piping Wizard tool within the Form Builder you can pipe in form responses from an Applicant form into a Reviewer form as well as Basic Information about the user. In order to pipe responses from a question within the same form the questions will need to be on different pages of the form.

How to Pipe using the Piping Wizard

The Piping Wizard will allow you to access variables that you can pipe into the Reviewer Form. The variables available in the wizard will include basic information about the Applicant, the Submission, and the Reviewer, as well as Submission and User Metadata. 

NOTE: From this Piping Wizard you will not be able to pipe in Applicant Form Responses, however we will cover this in the following section: How to Pipe variables from an Applicant Form.

Piping Form Responses within the Same Form

As mentioned previously, in order to pipe responses from a question within the same form, the questions will need to be on different pages of the form. Additionally you will need to set up an Identifier on the question you are piping from in order to access it in the Piping Wizard. Once the Identifier has been set:

  1. Go to the page you wish to add the variable to
  2. Add the Text Response question you wish to pipe the variable into
  3. Use the instructions below to use the Piping Wizard to add the form response. The question you are pulling from will appear under the Identifier you created, provided that it is on a page following the question. 

Piping Variables into Question Descriptions

This will pipe the variable into the Question Description of the question, this can be useful if you don't want the user to be able to edit the response from within this question. This can be often used in Section Heading type questions.

  1. Click Edit your site
  2. Click Workflow Designer
  3. Click on the form that you would like the variables to be piped into
  4. Once in the form builder add a new questions or use a question that already exists within your form
  5. Right-click on the question
  6. Click Piping Wizard
  7. Under Available Piping Options, click and drag the variable you would like to pipe, into the Question Description box on the right. NOTE: If the question has a question identifier the identifier will appear. 
  8. Click Save

Piping Variables into Text Response Questions

There are certain cases where you may wish for your users to be able to edit what is piped into the questions. You can do this by adding the variable as the initial value of the text response question. In order to access the variable that you need to pipe in. 

  1. Once in the form builder add a new questions or use a question that already exists within your form
  2. Right-click on the question
  3. Click Piping Wizard
  4. Under Available Piping Options, click and drag the variable you would like to pipe, into the Question Description box on the right. NOTE: If the question has a question identifier the identifier will appear. 
  5. Copy the variable within the Question Description box.
  6. Cancel or X out of the piping Wizard.
  7. Click on the text response question
  8. Click +Options
  9. Paste the variable into the Initial Value box

In certain cases you may want to make it so that if the user makes any changes to the text response that the value be restored to the Initial Value whenever the form is accessed again. To do this you will need to select Restore Initial Value

How to Pipe variables from an Applicant Form

Variables from your applicants responses are not provided within the Piping Wizard however it is still possible to pipe this information in using an alternative workaround. In order to access these piping variables you can do this by using the Email Piping Insert within Trigger Emails. In order to set this up:

  1. Go to Configure your site.
  2. Go to Triggers.
  3. Click on New Trigger.
  4. Set any activation you would like, this is simply so you can access the Trigger Emails in the actions. The Trigger will not actually be used. 
  5. Under Actions, add the action "Send an Email to..."
  6. Add Action.
  7. Above the Email Body editor is an Insert button which will provide a dropdown menu. Here you can access the Applicant Forms and the question within them.
  8. When you have located the question you wish to have a piping variable for, click to Insert it into the Email Body. This will provide you with a variable that looks something similar to {{ submission.var__XXXXX__XXXXXXXXXX }}
  9. Copy this variable in its entirety 
  10. You can then choose to Paste it into either the Question Description or the Initial Value of the Reviewer Form.

Piping Variables Not Accepted within a Reviewer Form

There are a few restrictions when it comes to piping variables in your site into a Reviewer Form. The list of these restrictions is:

You cannot pipe:

  • From one Reviewer form to another Reviewer Form
  • A Recommenders Account Information, as inputted in the Get a Recommendation request by the applicant, unless it is collected as Metadata or within a Form.
