How to Download Submissions

As an administrator you have the ability to Download Submissions in individually or in bulk through the Manage Submissions section of the site. This will allow you to download the submissions in their entirety as a Zip file or PDF. This article will outline the different formats you can use to download your submissions.

How to Download Submissions

To download submissions:

  1. Go to Manage your Site.
  2. Click the name of the applicant group you want to manage.
  3. Select the submissions you would like to download. You can use the Search by or Filters to pull up a list of specific submissions.
  4. Click Download 
  5. You can either select (All Tasks), (Selected Columns), or Select a specific Task you wish to download. 
  6. After you have selected what you would like to download you will need to select the Format.

Available Download Formats

Downloading submissions has multiple options depending on your needs. Below is an outline of the differences:
 
All Tasks Download Formats
 
Format Description What is Downloaded?
Download as zip Downloads submissions(s) as a zip file. If downloaded multiple submissions each submissions will have its own folder named based on the Submission Title.
  • A PDF per completed form
  • Uploads to the submission in their original format
  • A separate folder containing any completed Rankings. Within this folder will be PDFs of each completed Ranking
  • A separate folder containing any completed Recommendations. Within this folder will be another folder for each recommender.
Download as PDF Downloads submissions(s) as merged PDF. All submissions will be downloaded within one PDF file.
  • A single PDF containing the completed applicant forms of each applicant
  • Any uploaded files will also be merged within this file
  • NOTE: Recommendation forms and Reviewer Forms will not be included in this download
Download Selects as Zip with PDF per Submission Downloads submission(s) in a zip folder. Within the zip folder is a Merged PDF of each submissions tasks. The PDF of the submission is named based on the Submission Title
  • A separate merged PDF of each submission downloaded
  • This will merge together all completed forms and uploads for each submission
Download Selected as Zipped, Merged PDF Downloads submissions into their own separate folders, named by the Submission Title. 
  • A merged PDF of completed forms and uploads for each submission
  • A separate file for each completed form and upload
  • A separate folder containing any completed Rankings. Within this folder will be PDFs of each completed Ranking
  • A separate folder containing any completed Recommendations. Within this folder will be another folder for each recommender.
 

Selected Columns Download Format

Format Description What is Downloaded?
Download selected as CSV Downloads submissions as a CSV spreadsheet
  • Within the spreadsheet will be a column for each column that is currently displayed within your Manage Submissions table.

 

Individual Task Downloads 

NOTE: This feature is only available in our Core sites and will not be available in Awards sites. You will also not be able to download Reviewer, Recommender, or User Tasks in this format. In order to download these tasks you will need to Download All Tasks for the submission.

Format Description What is Downloaded?
Download Selected as Zip Downloads submissions as a zip file. Within the zip file is a folder for each submission named based on the Submission Title
  • Within the submission folder is the PDF of the completed task that was selected to be downloaded
Download Selected as PDF Downloads submissions(s) as merged PDF. All submissions will be downloaded within one PDF file.
  • A single Merged PDF containing the completed Task that was selected to be downloaded
  • NOTE: You will not be able to download Audio or Video upload tasks in this format
