Creating User Tasks

User tasks are tasks that are not part of the workflow of a particular award or submission. You can use them to prompt a user group to complete a task that is not tied to a single submission. For example, create a user task for recommenders asking them to upload a resume or CV to verify their credentials to provide recommendations in general. Another example would be to create a user task for applicants in order to see if they are eligible for a specific award or submission. 

To add a user task:

  1. Click Edit your site.
  2. Click Workflow Designer.
  3. Click the User Task tab.
  4. From the + Add a new task select a Group and Task Type.
  5. Click Create Task.
  6. Configure your task as desired. See below for more information on configuring each task type.
  7. Click Save Task.

User tasks can activate triggers. For example, you could create a user task that has applicants fill out a demographics form asking if they'd like to be auto-applied to awards they meet eligibility requirements for and set up a trigger to auto-apply those who say yes. You can create triggers with user tasks to do things like: grant user permissions, make a user the team lead for an awards reviewer group, or send an email. Task Types

Fill out a form

Use this task to prompt group members to fill out a form. Forms are created and edited using the form builder. Drag and drop questions into your form, add pages, and use the advanced branching wizard to apply logic to your form. For example, hide or show form questions based on previous answers.

Basic Information

Name The title of the form.

Round & Group

Group Select which group the user task should be completed by.
Form Form Select (Create a new blank form) to build a form from scratch, (Create a new participation form) to build a form off of a template that contains a terms and conditions page and then asks applicants for basic demographic information, or select a pre-existing form to assign an unused existing form to this task. A list of all unused forms is shown in the Forms tab in the workflow designer.
Visibility Modify Visibility Allow you to hide this task from users in specific groups.
 
Upload a document/image

Use this task to prompt group members to upload a document or image and restrict which types of files they can upload.

If you are setting DPI requirements for image files you should only allow people to upload JPEG/JPG files, since DPI information cannot be reliably extracted from other file types.

Remove Title Field Removes the option to give uploaded files a title.

Modify Visibility Allow you to hide this task from users in specific groups.
 
 
501(c)3 verification

Use the 501(c)3 verification task to prompt group members to provide their Employer Identification Number to verify that they work for a tax exempt 501(c)3 employer.
